For group plans, CalendarBridge offers two administration methods for calendar syncing: “Managed Users” and “Managed Syncs”
Managed Users Group Administration
The managed users administration method works similar to Microsoft 365, Google Workplace, Zoom, etc.: the group administrator adds a user (through the managed users admin panel) and the user gets an email letting them know a CalendarBridge account has been created. The user then logs in to setup their own sync connections and scheduling links.
From the user’s perspective, the experience is largely the same as if they signed up as an individual, except:
(1) For users on a group plan, the group administrator may have imposed restrictions on which information the user is permitted to sync between accounts.
(2) For users on a group plan, the group administrator may have “preloaded” one or more calendar accounts, which means: the user does not have to manually add those accounts (but the user will have to manually create any desired sync connections). Preloading a calendar account is particularly useful for loading one a first user’s calendar (e.g., the boss’s calendar) onto another user’s account (e.g., the assistant’s account).
Managed Syncs Group Administration
The managed syncs model allows for the group administrator to centrally manage sync connections without users ever having to login (or even know CalendarBridge exists).
Using the managed syncs administration model requires the group administrator to grant CalendarBridge domain-wide* calendar access on both tenants that will be involved in the sync connections. Here’s how that works:
Once both tenants have been authorized by a Google or Microsoft administrator, the group administrator can create sync connections for users via the Managed Syncs admin panel:
For creating 30 or more sync connections at a time, a spreadsheet template can be used for bulk sync creation.
*On Microsoft 365, the admin can use security groups to limit CalendarBridge’s access to only a subset of users’ calendars. (ref.)
