One Link for the Whole Team: Combined, Round Robin, and First Available Booking

Join any booking links with a + and get one page that books a whole team together, rotates meetings across it, or hands each one to whoever is free first.

Scheduling links have always been one person, one calendar. Now they can be a team. Put a + between two or more CalendarBridge handles and you get a single booking page that reads everyone’s calendars at once. Leave it there and it books all of you together. Add +rr and it rotates bookings round robin. Add +fa and each meeting goes to the first person who is free.

The link is the feature

There is nothing to create and nothing to configure. A combined link is just your normal booking URL with more than one handle in it:

• calendarbridge.com/book/frank_sales+chad_sales — a specific scheduler for each person, written handle_scheduler.
• calendarbridge.com/book/frank+chad+rr — the same people, booked round robin.

It works the moment you type it. Because it reads everyone’s live calendars and working hours, nobody has to keep a shared availability in sync, and a change on anyone’s calendar shows up on the link immediately.

Three ways to share a team

The last thing in the link decides who gets the meeting.

Everyone together

The default. The booking page only offers times when every person on the link is free, so what it shows is a real slot for the whole group. The meeting is created on the first person’s calendar and everyone else is invited, so it lands on all of your calendars as one shared event. Perfect for a sales-and-engineering intro, a panel interview, or any call where the whole team needs to be in the room.

Round robin

Add +rr. Now a time is offered if anyone is free, and each booking goes to one person. CalendarBridge rotates fairly: the free person who has gone longest without a booking on that link is up next. Someone who was skipped because they were busy keeps their place at the front of the line rather than losing a turn. This is the link to put on a “Talk to sales” button or a support page.

First available

Add +fa. Same availability as round robin, but assignment follows the order you listed people in. The first person who is free at the chosen time takes it, and the next only steps in when they cannot. Use it when there is a natural pecking order: the account owner first, a backup when they are out.

What your invitees see

A combined booking page shows every host’s avatar, stacked, with all of your names beside them. On an everyone-together link it reads “Booking with Frank Robles & Chad Gilles.” On a round robin or first available link it reads “Booking with one of,” so nobody expects the whole team on the call.

Once they book, the confirmation tells them exactly who they got, and the calendar invite comes from that person. The meeting takes that host’s event color, video conferencing, description, and reminder emails, so it looks like any other booking on their calendar.

Everything the invitee interacts with before that — meeting length, how far ahead they can book, your custom questions, the welcome message and branding — comes from the first scheduler in the link. Put the person whose setup should shape the page first.

Save the links you use most

The builder can save any combined link under a name. Saved links live in your own settings, so they follow your login to any device, and you can copy, edit, or delete them from the same dialog. Saving the same set of people twice just renames the existing entry.

Deleting a saved link does not disable it — a combined link is only a URL, and anyone holding it can still book. To take one out of service, change or remove one of the schedulers in it.

A few things worth knowing

• Everyone on a combined link needs a CalendarBridge account with a claimed custom booking URL. The link is built from those handles.
• A link supports up to five people. If you need more than five, contact us.
• Availability is re-checked for the relevant hosts the moment someone books, so a slot that filled up in the meantime is refused rather than double-booked.
• Rescheduling a round robin or first available booking keeps it with the same person; it does not re-run the rotation.
